Interlibrary Loan Policy
Eligibility:Interlibrary loan services are available for all currently registered students and all currently employed faculty, adjunct faculty, and staff of the College of Santa Fe. Professors emeriti and CSF Board members are also eligible to use interlibrary loan services.
Interlibrary loan services are not available for any other library patrons, such as passport patrons, community members, alumni, etc.
Requests:We cannot request materials owned by Fogelson Library; it is the responsibility of the patron to check the College of Santa Fe Libraries' holdings, including journal holdings, before placing an ILL request. Requests may not be submitted for books required for current course offerings, items that are on reserve at the circulation desk, or feature films.
Requests may be submitted by filling out a paper ILL request form at the Library, sending an email to illoan@csf.edu, or by filling out the ILL request form on the Fogelson Library web site. Printouts from subscription databases such a FirstSearch, ProQuest, JStor, etc. are also accepted.
Each patron must submit his or her own request for interlibrary materials and is personally responsible for picking up and returning all materials requested. Fogelson Library will not accept requests placed on behalf of or through a third party.
Every attempt will be made to fill requests. However, because of lending library restrictions and policies, not all materials may be borrowed. This is especially true for reference works, textbooks, rare books, A/V materials, and new titles.
Interlibrary loans usually take about 7-10 days, but can take up to 3 weeks to arrive. Please plan accordingly. You will be contacted when loans arrive.
Fees:
Borrowing fees: Sometimes an item in only available from a library or libraries that charge a fee for their loans. Fees can range from $5-$100 and depend upon the lending library's policies. If this happens, you will be contacted and asked to approve a maximum cost for the loan. All patrons, including faculty, are responsible for any fees associated with a loan.Overdue fees: Overdue interlibrary loan materials are taken very seriously as they can affect our borrowing privileges with other libraries, thus restricting our ability to borrow materials for all CSF patrons. There is a fine of $1 per day per book for all ILL items. NO EXCEPTIONS. Chronic overdue returners (4 or more late returns) will have ILL privileges suspended for the duration of the academic year. Late return counts reset every academic year.
Items not picked up: It is the borrower's responsibility to pick up all items requested through ILL. A fine of $5 per item is incurred for items not picked up, including articles. Please only request items you intend to use.
Limits:Students and staff members are limited to 10 active requests* at a time. Faculty members are limited to 15 active requests* at a time. Also, please do not submit any more than 5 requests per day.
No title may be requested more than twice by the same patron.
[*Requests are active as soon as they are turned in to Fogelson Library or sent to the ILL email address. Article requests are active until the article is received. Book and A/V requests are active until they are returned to Fogelson Library.]
Loan Periods:Borrowing periods are set by the lending library, not by Fogelson Library. Patrons are solely responsible for returning items to Fogelson by the due date printed on the book band.
Renewals must be requested at least one day before the due date. Renewal requests submitted on or after the due date will not be honored. NO EXCEPTIONS.
There is a limit of 1 renewal request per item. All renewals are at the discretion of the lending library.
